Privacy Policy

Last updated 10/16/2026

Effective Date:            September 10th, 2026

VenueZoo, LLC ("VenueZoo," "we," "us," or "our") operates the VenueZoo website and platform (the "Service"), which connects individuals and organizations planning events ("Venue Explorers") with venues, properties, and event service providers ("Property Owners," "Venue Managers," and "Service Providers"). This Privacy Policy explains what personal information we collect, how we use and share it, and the choices and rights you have regarding your information.

By using the Service, you agree to the collection and use of information described in this Privacy Policy.

1. Information We Collect

1.1 Information You Provide to Us

We collect information you provide directly when you use the Service, including:

  • Account information: name, email address, password (stored in encrypted/hashed form, never in plain text), and phone number, when you register for an account as a Property Owner, Venue Manager, Venue Scout, Service Provider, or Venue Explorer.
  • Property and venue listing information: business name, physical address, description, photos and video, pricing, capacity, amenities, and other details a Property Owner or Venue Manager submits to create or manage a listing.
  • Event inquiries ("leads"): when a Venue Explorer contacts a venue through the Service, we collect the information submitted in that inquiry — which may include the Explorer’s name, email, phone number, event date, guest count, and message — and share it with the relevant Property Owner or Venue Manager so they can respond.
  • Uploaded media: photos and videos uploaded to the Service (e.g., venue galleries) are stored with our cloud storage provider and may depict people, property, or locations submitted by the uploader.
  • Reviews: if you submit a review of a venue, we collect the content of that review and associate it with your account.
  • Support requests: when you contact us for help, we collect the content of your message, your contact information, and, if applicable, the property, venue, or account your request relates to.
  • Referral program information: if you participate in our Venue Scout referral program, we collect the information needed to track your referrals and, if the program involves payouts, the information needed to process a payment to you (processed by a third-party payout provider — see Section 3).
  • Payment information: if you purchase a paid plan, your payment card details are collected and processed directly by our payment processor, Stripe. VenueZoo does not receive or store your full payment card number.

1.2 Information Collected Automatically

When you use the Service, we automatically collect limited technical information necessary to operate it, including:

  • Session and authentication data: a secure session cookie is set when you log in, so the Service can recognize you as authenticated. This cookie is required for the Service to function and is not used for advertising or cross-site tracking.
  • Standard server logs: our hosting and infrastructure providers automatically log standard technical data (such as IP address, browser type, and request timestamps) for security, debugging, and reliability purposes, consistent with standard web-hosting practice.

As of this policy’s effective date, VenueZoo does not use third-party advertising trackers, ad pixels, or cross-site analytics services (e.g., Google Analytics, Meta Pixel). If this changes in the future, this Policy will be updated accordingly.

1.3 Information from Third Parties

When you complete a purchase, our payment processor (Stripe) shares limited transaction confirmation information with us (such as payment status and the last four digits of your card) so we can activate and manage your subscription. We do not receive your full card number, CVV, or bank account details.

2. How We Use Your Information

We use the information we collect to:

  • Create and maintain your account and provide the Service;
  • Connect Venue Explorers with venues and route event inquiries to the appropriate Property Owner or Venue Manager;
  • Process payments and manage subscriptions;
  • Send transactional communications, such as account confirmations, password resets, lead notifications, receipts, and support responses;
  • Review and moderate content (such as uploaded photos and submitted text) to keep the Service safe and appropriate, using a combination of manual review by our team and, in some cases, automated screening tools — see Section 3;
  • Maintain the security and integrity of the Service, including detecting and preventing fraud or abuse;
  • Respond to support requests and communicate with you about your account; and
  • Comply with legal obligations.

We do not use your personal information to make automated decisions that produce legal or similarly significant effects concerning you.

3. How We Share Your Information

We do not sell your personal information. We share information only in the following circumstances:

3.1 With Other Users, As Needed to Operate the Service

  • When you submit an event inquiry to a venue, we share the information in that inquiry with the venue’s Property Owner/Venue Manager so they can respond to you.
  • Property and venue listing information you submit is, by design, displayed publicly on the Service so Venue Explorers can find and evaluate venues.
  • Reviews you submit are displayed publicly, associated with your account as configured in the Service.

3.2 With Service Providers

We share information with third-party service providers who perform services on our behalf, under contractual obligations to protect your information and use it only for the purposes we specify. As of this policy’s effective date, these providers include:

  • Payment processing: Stripe, for processing payments and managing subscriptions.
  • Email delivery: Resend, for sending transactional emails (account notifications, lead alerts, receipts, support correspondence).
  • File storage: Cloudflare, for storing uploaded photos and videos.
  • Hosting and infrastructure: Vercel (application hosting) and our database infrastructure provider, for running the Service and storing account and listing data.
  • Address lookup: Mapbox, to convert a property’s submitted address into map coordinates for display and search purposes.
  • Content moderation: we may use a third-party AI service to help screen uploaded images and submitted text for inappropriate content, in addition to manual review by our team. This automated screening does not make final decisions on its own — flagged content is queued for human review.
  • Referral payouts (if applicable): if and when our Venue Scout referral program issues monetary payouts, we use a third-party payments platform to deliver those payouts, which may require collecting tax-reporting information (such as a completed W-9) directly through that provider.

We use Cloudflare Turnstile to protect our forms from spam and automated abuse. Turnstile may collect limited technical information about your browser and device to tell real visitors from bots. Cloudflare’s handling of that information is described in the Cloudflare Turnstile Privacy Addendum: https://www.cloudflare.com/en-gb/turnstile-privacy-policy/

3.3 For Legal Reasons

We may disclose information if required to do so by law, or if we believe in good faith that disclosure is necessary to comply with a legal obligation, protect the rights or safety of VenueZoo, our users, or the public, or investigate potential violations of our terms.

3.4 Business Transfers

If VenueZoo is involved in a merger, acquisition, financing, or sale of assets, your information may be transferred as part of that transaction. We will provide notice before your information becomes subject to a different privacy policy.

4. Cookies and Similar Technologies

The Service uses a session cookie to keep you securely logged in. This cookie is essential to the Service’s functioning (you cannot remain logged in without it) and is not used to track you across other websites or to serve you targeted advertising. We do not currently use non-essential cookies, tracking pixels, or third-party advertising cookies. If that changes, we will update this Policy and, where required by law, request your consent.

5. Data Retention

We retain personal information for as long as your account is active or as needed to provide the Service to you. If you close your account, we will delete or de-identify your personal information within 30 days, and any remaining copies in encrypted backups will be purged within 90 days, except where we are required to retain it longer for legal, tax, security, or fraud-prevention purposes. Specifically: financial and billing records are retained for 7 years to comply with tax and accounting requirements; support ticket records are retained for 2 years after resolution; content moderation and dispute records are retained for 3 years; and email delivery logs are retained for 1 year for deliverability and troubleshooting purposes.

6. Data Security

We use reasonable technical and organizational measures designed to protect your information, including encrypted password storage, encrypted connections (HTTPS/TLS), and access controls restricting who at VenueZoo can view sensitive data. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

7. Your Privacy Rights and Choices

7.1 Access, Correction, and Deletion

You can review and update most of your account information directly within your dashboard. To request access to, correction of, or deletion of your personal information, contact us using the information in Section 11. We will respond to verified requests within the timeframe required by applicable law.

7.2 California Residents

If you are a California resident, the California Consumer Privacy Act (CCPA), as amended, may give you additional rights, including the right to know what personal information we have collected about you, the right to request deletion, and the right to non-discrimination for exercising your privacy rights. As stated above, VenueZoo does not sell personal information.

7.3 Other Jurisdictions

Depending on where you live, you may have additional rights under local law (for example, under the EU/UK GDPR). [PLACEHOLDER: VenueZoo currently operates primarily in the United States; if the Service expands to serve users in other jurisdictions, this section needs to be built out by counsel before that expansion.]

8. Children’s Privacy

The Service is not directed to, and is not intended for use by, individuals under the age of 18. We do not knowingly collect personal information from children. If we learn that we have collected personal information from a child under 18, we will take steps to delete that information.

9. International Users

The Service is hosted and operated in the United States. If you access the Service from outside the United States, your information will be transferred to, stored, and processed in the United States, where privacy laws may differ from those in your jurisdiction.

10. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes to our practices or for legal, regulatory, or operational reasons. We will post the updated policy on this page and update the "Last Updated" date above. If changes are material, we will provide additional notice as appropriate (for example, by email).
